Fulfillment Policy

This Fulfillment Policy explains how XOLKIT LLC (“XOLKIT,” “we,” “us,” or “our”) begins, performs, and delivers digital services and deliverables.

1. Nature of Fulfillment

XOLKIT provides business-to-business digital services, including custom software development, websites, web applications, mobile applications, SaaS products, AI integrations, workflow automation, UI/UX implementation, technical consulting, and related maintenance and support.

Services and deliverables are supplied electronically. XOLKIT does not ship physical goods unless a written project agreement expressly states otherwise.

2. Order and Project Confirmation

A project is confirmed when the client accepts the applicable proposal, statement of work, order form, or invoice and completes any required initial payment. XOLKIT may also require project information, content, credentials, technical access, or other dependencies before work can begin.

Payment alone does not create a scope beyond the services described in the accepted written project documents.

3. Project Start

Unless a different schedule is stated in writing, XOLKIT generally schedules kickoff after the required agreement, initial payment, and initial project materials have been received.

The actual start date may depend on current capacity, client availability, technical access, third-party approvals, and the completeness of the materials supplied by the client.

4. Delivery Timeframes

Estimated delivery dates and milestones are stated in the applicable proposal, statement of work, order form, invoice, or project communication.

Small defined tasks may be completed within approximately three to ten business days. Larger websites, applications, SaaS products, integrations, or custom software projects commonly require several weeks or longer. These ranges are estimates only. The project-specific written schedule controls.

A delivery estimate may change because of scope changes, delayed feedback, missing content, unavailable credentials, third-party outages, app-store or platform review, newly discovered technical limitations, or other dependencies outside XOLKIT’s reasonable control.

5. Client Dependencies

The client must provide requested information, content, approvals, feedback, credentials, and access within a reasonable time. XOLKIT is not responsible for delays caused by incomplete, inaccurate, unsafe, unlawful, or late client-supplied materials.

When a project is inactive because the client has not supplied a required dependency, XOLKIT may revise the schedule and reschedule the remaining work according to available capacity.

6. Delivery Method

Depending on the project, delivery may occur through one or more of the following methods:

  • deployment to an approved hosting environment;
  • access to a source-code repository;
  • secure file transfer;
  • delivery through a project-management or collaboration platform;
  • transfer of approved credentials or administrative access;
  • publication to a client-controlled platform; or
  • another electronic method stated in the project agreement.

XOLKIT will not request payment-card details through email, chat, source-code repositories, or ordinary contact forms.

7. Review and Acceptance

The client must review delivered work within the period stated in the project agreement. If no period is stated, the client should report a material failure to match the agreed scope within seven calendar days after delivery.

XOLKIT will have a reasonable opportunity to verify and correct a reported material nonconformity. Requests for new features, new content, preference changes, or work outside the agreed scope may require additional fees and a revised schedule.

8. Maintenance and Ongoing Services

Maintenance, support, hosting assistance, retainers, and subscription-based services are provided only when included in a written agreement. Renewal dates, included hours, response expectations, and cancellation terms will be stated in that agreement or invoice.
